Meeting briefings

Before an external meeting Spiich researches the company, the participants and the linked deal, and writes a briefing you read in My Day. You can also get the day's briefings as one email each morning.

Before you start

  • Google Workspace or Microsoft 365 connected on your user. The Meeting briefings section is hidden until one of them is.

A briefing is the prep Spiich writes before an external meeting so you walk in knowing the company, the people and where the deal stands. It is produced automatically from your calendar. You read it in My Day, in the desktop recorder, or in the morning email.

What a briefing contains

The default template has four sections:

  • Company Essentials. What the company does and the facts worth having in your head.
  • Participant Profiles. Who is on the call and what is known about them.
  • CRM Deal History. Where the linked deal stands and what has happened on it.
  • Strategic Insights. What is worth doing something about before you dial in.

The same card also lists every participant with their RSVP status (Accepted, Tentative, Pending or Declined), marks the external attendees, shows the organizer, links each participant to their CRM record, shows the linked records, and gives you the platform, the duration and a Join button. Next to each participant is a question button that pushes "Tell me more about" that person into the meeting's own chat.

When a briefing is written

Briefings are prepared automatically from your calendar, and only when all of this is true:

  • The meeting is external. At least one attendee is outside your own email domain.
  • It has between 2 and 50 attendees.
  • It starts within 24 hours, in either direction.
  • It is not an all-day event.

A briefing is rewritten when the meeting itself changes: title, description, start, end, organizer or attendee list. An unchanged meeting is reported as already up to date rather than researched again.

The daily digest email

Once a day, at 6 AM in your own timezone, Spiich emails the briefings for that day's meetings, with a header showing total meetings, total hours and total participants, and a link into My Day. It only includes meetings you are actually a participant in, and only briefings that were generated successfully. On a day where nothing generated, no email is sent.

  1. Open Settings > User Settings

    Scroll to the Meeting briefings section. It only appears once Google or Microsoft is connected.

  2. Turn on Send Meeting Briefings

    The switch saves immediately. Turning it off stops the digest.

  3. Set your timezone

    The Timezone picker on the same card decides when 6 AM is. With nothing set, Europe/Stockholm is used, which is why a digest sometimes lands at an odd hour.

  4. Optionally rewrite the template

    Briefing Instructions on the same card controls how your briefings are written.

Rewrite the template

Briefing Instructions is a plain editor holding the instructions Spiich follows for your briefings. The default template teaches its own syntax: plain text appears as written, [Fill-in] is something to research, (Rule) is guidance to follow, and <reference> is context Spiich already holds. Change the sections, drop the ones you never read, ask for more on a specific meeting type. A reset control appears once you have edited it, so you can always get the Spiich default back.

Why a briefing is missing or thin

When no briefing will be written, the card says so in plain language rather than staying blank:

A briefing that exists but reads thin is usually short of source material rather than broken. It leans on two things: what can be researched about the company and the people, and the CRM history on the linked records. A brand new logo with no deal history, no prior email thread and a small public footprint gives it very little to work with. Adding the meeting's deal and contacts to your CRM before the call is the fastest way to make the next briefing thicker.

Briefings pause themselves

If your daily digests go delivered but unopened for 10 days, Spiich stops preparing briefings and says so on a banner at the top of My Day: "Meeting preps are paused". Click Turn preps back on and it resumes, preparing today's meetings straight away and reporting progress in the banner as it goes.

Limits

  • External meetings only, 2 to 50 attendees, starting within 24 hours. All-day events never get one.
  • Briefings are per user. Your colleague's briefing settings are their own.
  • The digest goes out once a day, at 6 AM in the timezone on your profile, and only on days you actually have meetings.
  • Only successfully generated briefings make it into the email.
  • Two failed attempts on one meeting mark that briefing dead until Spiich support resets it.

If something goes wrong

  • The card says `Preparing briefing` and never fills in. Wait a few minutes and reload. If it changes to "We couldn't generate a briefing", ask Spiich support to reset it.
  • The digest arrives at the wrong hour. Your profile timezone is unset or wrong. Fix it under Settings > User Settings > Meeting briefings > Timezone.
  • Digests stopped entirely. Either the switch is off, or briefings paused themselves after 10 unopened days. Check the banner in My Day first.
  • A meeting far in the future has no briefing. Nothing is wrong. Briefings are only prepared inside a 24 hour window around the start.

Frequently asked questions

No. Internal meetings are skipped by design on the grounds that your team already has the context. If you want a meeting briefed, it needs at least one attendee outside your own email domain on the calendar invitation.
