# Troubleshoot the Spiich Recorder

> Fix a Spiich Recorder that will not update, is signed out or misses meetings: install a fresh copy from Settings > Meeting Agent into your Applications folder, grant the three macOS permissions, or pair again with a new code.

- Section: Meetings
- Who can do this: Everyone
- Time: 5 minutes
- Last updated: 2026-10-15

Start with the message the Recorder shows, then follow the matching section below. If nothing else works, install a fresh copy of the app.

> **Tip:** **Get a fresh installer** from [`Settings > Meeting Agent`](https://app.spiich.ai/settings/notetaker), under `Recorder downloads`. Pick `Apple silicon` for a Mac or `Windows`. Full steps are in [Install the Spiich Recorder](/help/meetings/install-the-meeting-recorder).

## Update not installed

The banner reads "Update not installed", with one button and a `Troubleshoot` link to this page.

1. **Click Download update**
The Recorder fetches the update again. If the update is already downloaded, the button already reads `Retry install`.

2. **Click Retry install**
The Recorder quits, installs the update and opens again in the menu bar or system tray.

3. **Quit and reopen if the banner comes back**
Quit the Recorder completely and open it again. Click `Download update`, wait for the download, then click `Retry install`. Closing the window only hides it.

4. **Still failing? Install a fresh copy over the old one**
Follow the steps below to [install a fresh copy on macOS](/help/meetings/troubleshoot-the-meeting-recorder#install-a-fresh-copy-on-macos). You normally stay paired and keep your settings.

A banner that reads "Update failed" with `Check again` is different: the Recorder could not check for updates. Check your internet connection and click `Check again`. If it keeps failing, install a fresh copy.

## Install a fresh copy on macOS

1. **Quit the Recorder**
Right-click the Spiich icon in the menu bar and choose `Quit`, or press Cmd+Q while the Recorder window is in front.

2. **Download the installer**
   Open [`Settings > Meeting Agent`](https://app.spiich.ai/settings/notetaker) and download `Apple silicon` under `Recorder downloads`.

3. **Drag it into Applications**
Open the disk image and drag **Spiich Recorder** onto the Applications folder. If macOS asks, choose `Replace`.

4. **Open it from Applications**
Eject the disk image, then open Spiich Recorder from your Applications folder.

5. **Check the version**
In the Recorder, open `Settings`. The `SOFTWARE` section shows the version you are running.

## Keep the Recorder in Applications

On macOS, run the Recorder only from your Applications folder. A copy opened straight from the disk image or from Downloads can fail to update, and macOS permissions can end up attached to a copy you later delete.

To move it:

1. Quit the Recorder.
2. In Finder, drag **Spiich Recorder** from Downloads, or from the disk image window, into Applications.
3. Eject the Spiich Recorder disk image if it still shows in the Finder sidebar.
4. Delete any other copies, for example in Downloads, so only one remains.
5. Open Spiich Recorder from Applications.

If permissions stop working after the move, grant them again as described below.

## macOS permissions

The Recorder needs three permissions. When one is missing it shows the "Give Spiich access to your device" screen instead of your meetings.

| Permission | What it does | Where to find it in System Settings |
| --- | --- | --- |
| Accessibility | Detects meeting windows | `Privacy & Security > Accessibility` |
| Microphone | Captures your voice | `Privacy & Security > Microphone` |
| System Audio | Captures everyone else on the call | `Privacy & Security > Screen & System Audio Recording`, as system audio only |

- **`Enable`** shows the macOS prompt. Approve it.
- **`Settings`** means macOS already has an answer, so the Recorder opens the right System Settings pane. Turn **Spiich Recorder** on there.
- **`Relaunch`** appears when a permission was denied earlier. Click it after granting, because the change only counts after a restart.
- **`Managed`** means your company's device policy controls it. Ask your IT team to allow Spiich Recorder.

More detail in [Recorder permissions and capture](/help/meetings/recorder-permissions).

## Your session has ended

The Recorder signed out. This happens when the device is revoked under `Connected devices`, or when your access to Spiich changes. If you are recording, the recording carries on and your notes stay on the device until you sign in again.

1. **Generate a new pairing code**
In the web app, open [`Settings > Meeting Agent`](https://app.spiich.ai/settings/notetaker) and click `Generate pairing code`. The `Open Spiich settings` link on the Recorder's pairing screen opens the same page.

2. **Enter the 6 digits in the Recorder**
It pairs as soon as the last digit lands. A code expires after 10 minutes and works once.

If the page shows "Recorder is off for your account" instead of a code, click `Turn on Recorder` if it is offered. Otherwise contact Spiich support to turn it on.

## Meetings are not detected or not recorded

- **Nothing is ever detected.** Accessibility is what lets the Recorder see a meeting window. If you moved or reinstalled the app, turn Spiich Recorder off and on again under `Privacy & Security > Accessibility`, then quit and reopen the Recorder.
- **"Turn off Meeting bot before recording locally."** While `Meeting bot` is on under `Recorder > Settings`, the Recorder does not record on your computer and `Auto-record meetings` cannot be changed. Turn Meeting bot off to record locally.
- **A meeting was detected but did not record.** `Auto-record meetings` is off under `Recorder > Settings > RECORDING`. Turn it on, or click `Start recording` on the meeting, or use the `Record` pill.
- **"Capture permissions are required before recording."** A permission is missing. Grant the one the Recorder opens in System Settings.
- **"Recording needs attention" or an error banner.** Click `Retry recording` on the meeting, or `Retry` on the banner.
- **A Chrome notice about Google Meet.** On macOS the Recorder warns when your Chrome is too old for Google Meet to work well. Click `here` in the notice to open Google's update steps, update Chrome, then restart it.
- **The call is missing from your meeting list.** The list only shows meetings from your connected calendar that you are invited to. A call that matches none of them still appears, with an `Open detected call` button, and records like any other.

For recordings that were captured but failed afterwards, see [A meeting did not record](/help/troubleshooting/recording-problems).

## Windows notes

- **First launch warning.** Windows builds are unsigned, so SmartScreen shows "Windows protected your PC". Click `More info`, then `Run anyway`. Later updates install without the warning.
- **Where it lives.** The setup file installs the Recorder for your Windows user, in `%LocalAppData%\SpiichRecorder`, and adds a **Spiich Recorder** shortcut to the Start menu.
- **Fresh copy.** Right-click the Spiich icon in the system tray and choose `Quit`, then run the Windows installer from [`Settings > Meeting Agent`](https://app.spiich.ai/settings/notetaker) again. It installs over the old copy.
- **No permissions needed.** Windows skips the access screen.

## Contact support

Email hello@spiich.ai, or use the [contact form](/contact), if a fresh copy and the steps above did not help. Send:

- The Recorder version from `Recorder > Settings > SOFTWARE`.
- Your operating system and its version.
- A screenshot of the banner or error.
- The debug text, if the error banner has `Copy debug`. Click it and paste the result into your email.
- The meeting and roughly when it happened, if a recording is affected.
- The Recorder's log file, described below.

The Recorder has no log export button, but it writes a log file you can attach:

- **macOS:** `~/Library/Logs/Spiich Recorder/main.log`. In Finder, choose `Go > Go to Folder` and paste the path.
- **Windows:** `%AppData%\Spiich Recorder\logs\main.log`. Paste the path into File Explorer's address bar.

## Frequently asked questions

### Do I lose my pairing when I install a fresh copy?

Usually not. Pairing and settings are stored outside the app itself, so replacing the app keeps them. If the Recorder opens on the pairing screen, generate a new code under `Settings > Meeting Agent`.

### Why does the Recorder not retry the update by itself?

After an install that did not land, it stops installing that version automatically so it does not keep quitting and reopening. Install it with `Retry install`. When a newer version is released, the Recorder tries that one automatically.

### Does the Recorder need Screen Recording permission?

No. On macOS it asks for Accessibility, Microphone and System Audio only. System Settings lists system audio on the same `Screen & System Audio Recording` page, but the Recorder does not record your screen. On Windows it needs no permissions.

### Where do I download the Recorder?

Only from `Settings > Meeting Agent` in the Spiich web app, under `Recorder downloads`. The same page handles pairing codes and connected devices.
