# How Spiich handles meetings

Spiich works on the meeting itself, not on a calendar entry. It preps you before the call, captures what was said during it, and turns that into CRM updates and a follow-up draft afterwards. Every stage is separately switchable, so you can take the whole cycle or only the parts you want.

## The four stages

## Before the call: the briefing

For an external meeting, Spiich researches the company, each participant and the linked CRM deal, then writes a briefing you read in [My Day](/help/meetings/my-day). The default template covers Company Essentials, Participant Profiles, CRM Deal History and Strategic Insights, and you can rewrite that template for yourself. You can also have the day's briefings arrive as one email at 6 AM in your own timezone. See [Meeting briefings](/help/meetings/meeting-briefings).

Briefings are written for external meetings only. Internal meetings, solo blocks, all-day events and meetings above 50 attendees are skipped, and the card says which of those applied instead of sitting blank.

## During the call: capture without a bot

Capture is done by the **Spiich Recorder**, a desktop app for macOS and Windows. It detects the meeting window on your own machine and records the audio locally. No bot joins the call, and no participant sees an extra attendee in the room.

That has a consequence worth knowing up front: because nothing announces itself in the meeting, anyone who needs to tell the room the call is being recorded has to say so themselves.

With `Auto-record meetings` on, which is the default, recording starts as soon as a meeting window is detected. With it off, detection still happens and waits for you to press `Start recording`. The floating `Record` pill captures anything else: a phone call, an in-person conversation, or a platform Spiich does not recognize.

## The recorder is not the only way in

A meeting does not have to be recorded by Spiich to get the full treatment. Transcripts also arrive from:

- **Fathom**, connected with OAuth from [`Settings > Integrations`](https://app.spiich.ai/settings/integrations)
- **Fireflies.ai**, connected with an API key
- **Google Meet's own transcripts**, once the Meet permission is granted on your Google connection
- **Call recordings already stored in your CRM**, from Attio, HubSpot or Pipedrive

## After the call: notes, CRM and a draft

Once a recording is processed, Spiich writes one summary and one speaker-labelled transcript. The summary is chosen once on the server, so the web app, the desktop recorder and the note that lands in your CRM all show identical text.

Then the post-meeting agent runs. It has two jobs you switch on and off independently:

- **CRM updates** create or update the external people and organizations, update or create the deal, save exactly one meeting note on the single most relevant record, and create at most one follow-up task when real internal work remains.
- **Follow-up email** drafts one email for you to review.

Each job runs at Careful, Balanced or Proactive, and CRM updates either wait as proposals you accept or go straight to the CRM. See [Meeting notes and CRM updates](/help/meetings/meeting-notes-and-crm-updates).

## What Spiich never does

- **It never sends email.** The follow-up is always a draft. You open it in Gmail, Outlook web or your desktop mail client and press Send yourself. See [Follow-up emails](/help/meetings/follow-up-emails).
- **It never changes your calendar.** Spiich reads your calendar; it cannot create, move, cancel or RSVP to an event.
- **It never joins a meeting.** Capture is local to your own machine.
- **It does nothing after a meeting when both agent jobs are off.** That is a supported setting, not a fault.

## Limits worth knowing

- The tasks panel needs the `Task View` add-on on your user. Without it, My Day says tasks are off for your account. An admin grants it from [`Settings > User Management`](https://app.spiich.ai/settings/user-management); see [Manage teammates and roles](/help/workspace/manage-your-team).

## If something goes wrong

- **My Day asks you to connect a calendar.** Neither Google nor Microsoft is connected on your user. Connect one right on that screen.
- **A meeting has no briefing.** Read the line at the bottom of the `Meeting Briefing` card. It names the reason rather than leaving you guessing.
- **A recording sits on `Processing`.** Transcription and summarization take a while. The meeting stays intact and fills in when it is done.
- **A meeting shows no audio player anywhere, including the desktop app.** An admin turned off `Show recordings in meetings` for the workspace. Transcripts and summaries stay visible and nothing was deleted.

## Frequently asked questions

### Do the other people on the call know Spiich is recording?

Not from Spiich. The recorder captures audio on your own computer and no bot joins the meeting, so nothing appears in the participant list and no notice is played. If you are required to disclose recording, say so in the meeting yourself.

### Can I use Spiich for meetings without installing the desktop recorder?

Yes. Briefings, `My Day`, meeting notes and the post-meeting agent all work without it. You can also bring transcripts in from Fathom, Fireflies.ai, Google Meet or call recordings stored in your CRM. The recorder is only needed if you want Spiich itself to capture the audio.

### Does Spiich record every meeting on my calendar?

Only meetings the recorder detects on your machine while it is running, and only while `Auto-record meetings` is on. Turn that setting off and every recording waits for you to press `Start recording`.

### Where do the notes end up in my CRM?

The post-meeting agent saves exactly one meeting note per call, attached to the single most relevant record, plus at most one follow-up task when real work remains. It never scatters several notes across several records.
