# Invite your team

> Admins invite teammates from Settings > User Management, either by typing an email address or by picking a contact from the connected CRM. Invitees set a password or continue with Google.

## Before you start

- You are an admin of the workspace.
- For anyone who is not already a contact in your connected CRM, you need their first name, last name and email address.

Nobody signs themselves into an existing workspace. Signup always creates a new one, so the only way in is an invitation from an admin. Everything happens on one page: [`Settings > User Management`](https://app.spiich.ai/settings/user-management).

> **Admin only:** Inviting, resending and revoking are all admin-only. A member opening that page is sent back to their own settings.

## Invite by email

1. **Open User Management**
   Open `Settings` from the app sidebar, then `User Management` in the Account group.

2. **Find the invite card**
   Scroll to `Invite team members`, headed "Invite anyone by email, or pick a contact from your CRM".

3. **Fill in the row**
   In the `Invite by email` row enter `First name`, `Last name` and `Email address`. Both names are required for anyone who is not already a contact in your CRM; the invite is rejected without them.

4. **Check the domain warning**
   If the address is on a different domain from yours, a warning appears: "Double-check the address before inviting someone outside your organization." It still sends if you continue, so only continue if you meant to.

5. **Click Invite**
   You get `Invitation sent!` and the person appears in the Members list marked `Pending invite`.

## Invite someone already in your CRM

Underneath the email form Spiich lists `potential members`: people who exist as contacts in your connected CRM but are not Spiich users yet. Find the person and click `Invite` on their row. The row flips to `Added`. No typing, no chance of a typo in the address.

If the list is empty you either have no CRM connected or everyone in it is already a member. If a specific colleague is missing, they are not a contact in the CRM; use the email row instead.

## What the invitee receives

They get an email titled "You're invited to join {company} on Spiich" with a join link. Opening it gives them two routes:

- **Set a password.** At least 10 characters with an uppercase and a lowercase letter, entered twice, then `Create Account`. They are sent to the login screen to sign in.
- **Continue with Google.** They must use the Google account matching the invited address. This signs them straight in.

Either way they land in the [first-run setup wizard](/help/getting-started/first-run-setup), which for a member starts at the email and calendar step.

## Pending versus active

The Members list shows a count of active and pending people. A row stays `Pending invite` until the person sets a password or signs in with Google, then flips to `Active`. Both states consume a seat.

On a pending row you get two actions:

- **Resend invitation.** Sends the same email again. Use this rather than inviting the person a second time, which is rejected.
- **Remove invitation.** Kills the invite link, frees the seat, and puts the person back on the invitable list. You can invite them again at any time.

## After they are in

Two things are worth doing once someone is active, both from the same Members list:

- **Roles.** Click the `Member` badge on their row to promote them. Admins can manage members, invite people, connect the workspace CRM and edit organization-level agent settings. You cannot change your own role, and the last admin cannot be demoted. See [manage your team](/help/workspace/manage-your-team).
- **Capabilities.** Recorder access, Task View and background-agent access are granted per person from the same row. See [recorder permissions](/help/meetings/recorder-permissions) and [agent permissions](/help/background-agents/agent-permissions).

## Limits

- An email address that already belongs to another Spiich workspace cannot be invited.
- Someone already active in your workspace cannot be re-invited, and neither can someone with an invitation already outstanding. Use resend instead.
- System accounts are refused with "System accounts cannot be invited".
- First and last name are mandatory for anyone not already in your CRM.
- Both active members and outstanding invitations count towards your seat total, so revoke invitations you no longer want.

## If something goes wrong

- **The Invite button will not enable.** Something in the row is incomplete or invalid: a malformed address, or a missing first or last name for someone outside your CRM.
- **The invitation is rejected.** The address is already active, already invited, or belongs to another workspace. Check the Members list for a `Pending invite` row and use resend.
- **"Invalid Invitation - This invitation link is invalid or has expired."** The link is missing its token, was already used, or the invitation was revoked. Resend it from the person's pending row.
- **"Use the Google account that matches the invited email address."** They are signed into a different Google account. Sign out, use a separate browser profile, or set a password on the same screen instead.
- **A colleague cannot find User Management.** They are not an admin. Promote them, or send the invitation yourself.

## Frequently asked questions

### Can a teammate just sign up with our company email?

No. Signup always creates a brand-new workspace, so they would end up isolated from yours, and their address would then be blocked from being invited into it. Always invite from `Settings > User Management`.

### Does inviting someone cost anything?

Both active members and outstanding invitations consume a seat on your subscription. Revoking a pending invitation frees the seat again. For what a seat costs on your plan, see `Settings > Billing` or [contact us](/contact).

### Can I invite someone outside my company?

Yes, but Spiich warns you first: a mismatched email domain shows "Double-check the address before inviting someone outside your organization." The invitation still sends if you continue. They get the same access as any other member, so only do it deliberately.

### How do I remove someone who has left?

Hover their row in the Members list and use the suspend action. It removes their workspace access, signs their paired devices out, and stops them counting towards seat billing. You cannot suspend yourself, and there must always be at least one admin.
