# Connect Outlook and Microsoft 365

> Each person connects their own Microsoft work account so Spiich can read their Outlook calendar and search their mail. Access is read-only: Spiich never sends, drafts or changes anything in either.

## Before you start

- A Microsoft work or school account.
- No Google Workspace connection currently active on your Spiich user.

Your CRM is connected once for the whole workspace. Your mailbox and calendar are yours alone: you connect your own Microsoft account, and only you see what it brings in. It powers My Day, meeting briefings, mail search in Chat and follow-up drafts written in your voice.

## Connect Microsoft 365

1. **Open Integrations**
   Click **Settings** in the left sidebar, choose **Integrations**, and scroll to the **Email and calendar** section.

2. **Click Connect Microsoft**
   On the Microsoft 365 card, click **Connect Microsoft**. A button reading `Unavailable` means Google Workspace is connected on your user; disconnect it first.

3. **Approve every permission**
   Sign in to Microsoft and approve the permissions. Declining one leaves you partly connected rather than failing outright.

4. **Check the dots**
   You land back on [`Settings > Integrations`](https://app.spiich.ai/settings/integrations) with *Successfully connected to Microsoft*. The card should show a green dot next to **Outlook Mail** and **Calendar**. An amber `Not granted` means a permission was declined; click **Reconnect** and approve it.

There is no *Sign in with Microsoft* button on the login page. Microsoft is connected from Settings, from the onboarding **Connect your email & calendar** step, or from **My Day** when nothing is connected yet.

## What Microsoft is asked for

Every one of those is a read permission. There is no send scope and no calendar write scope in the list, which is what makes the next section true.

## What Spiich does with your mail and calendar

- **My Day.** Your calendar becomes a day-by-day list of the meetings you attend, each with its briefing, attendees and RSVP status, notes and follow-up draft. See [My Day](/help/meetings/my-day).
- **Meeting briefings.** Spiich prepares a briefing for qualifying external meetings starting within 24 hours: who is coming, the linked CRM records and researched context.
- **Mail and calendar search in Chat.** Switch on **Outlook search** and **Outlook Calendar** in the Chat Tools menu, then ask about correspondence or upcoming meetings in plain language.
- **Follow-up drafts.** Write your meeting notes, press **Process meeting**, and Spiich reads earlier correspondence with the attendees and drafts a follow-up in your voice.

## What Spiich never does

> **Note:** Spiich holds read-only access. It never sends mail from your mailbox. It never saves a draft into your mailbox. It never creates, edits, moves, cancels or RSVPs to a calendar event.

Press the send button on a draft card and Spiich opens Outlook web or your desktop mail app with the message pre-filled. You review it and press Send there. If the draft is too long to hand over in a link, Spiich copies the whole message to your clipboard and tells you to paste it into a new mail.

The same rule is why asking the assistant to move a meeting changes nothing on your calendar. Make the change in Outlook and Spiich picks it up on the next sync.

## One mailbox at a time, and how to switch

Spiich supports exactly one mail and calendar provider per person. While Microsoft is connected, the Google Workspace card reads `Unavailable`, and clicking it shows *You can only connect to one email provider at a time. Please disconnect Microsoft first.*

1. **Disconnect the current provider**
   In `Settings > Integrations`, open the three-dot menu at the top right of the connected provider's card and choose **Disconnect**.

2. **Confirm**
   The dialog explains you will lose access to that provider's mail and calendar through Spiich until you reconnect. Click **Disconnect**.

3. **Connect the other one**
   The other card's button changes from `Unavailable` to **Connect Google** or **Connect Microsoft**. Click it and complete the consent screen.

Disconnecting revokes Spiich's token with the provider and stops the calendar subscription. Your meetings, notes and follow-ups already in Spiich stay where they are.

## Limits

- **Microsoft calendars refresh on a schedule, not in real time.** An hourly pass covers the next 24 hours and a nightly pass covers three days back and 30 days forward. A meeting added to your Outlook calendar minutes ago may take up to an hour to appear. Near real-time change notifications are a Google-only capability.
- Only your primary calendar is read. Secondary, shared and subscribed calendars are not synced.
- All-day events and events with one attendee or fewer are never imported as meetings.
- Briefings only run for external meetings with between 2 and 50 attendees, starting within 24 hours, and are skipped when the only external attendees use free personal mail domains.
- Mail search returns at most 50 messages per request, and calendar invitation attachments are excluded from results.

## If something goes wrong

**The Microsoft card reads `Unavailable`.** Google Workspace is connected on your user. Disconnect it first.

**`Not granted` sits next to Outlook Mail or Calendar.** That permission was declined at Microsoft. Click **Reconnect** and approve everything.

**Chat says your Microsoft connection expired.** The token was revoked or expired, often after a password change or an admin revoking app access. Click **Reconnect** in the alert.

**A new Outlook meeting is missing from My Day.** Microsoft refreshes on the hourly sync rather than instantly. Wait for the next pass, then check the event has at least one other attendee and a real start and end time. More in [Email and calendar problems](/help/troubleshooting/email-calendar-problems).

## Frequently asked questions

### Why is there no Sign in with Microsoft button?

Microsoft is a mailbox connection rather than a sign-in method in Spiich. Create your account with email or with Google, then connect Microsoft 365 from `Settings > Integrations`, from onboarding, or from the My Day screen.

### Why is Outlook slower than Gmail to show a new meeting?

Google Calendar supports change notifications, so edits reach Spiich within about half a minute. Microsoft calendars are refreshed by an hourly pass over the next 24 hours plus a nightly wider pass, so a new event can take up to an hour.

### Does disconnecting delete my meetings and notes?

No. Disconnecting revokes the token and stops future syncing. Meetings, notes, briefings and follow-up drafts already in Spiich stay. There is no self-serve deletion; contact Spiich if you need that data removed.

### Can a shared or team mailbox be connected?

Spiich reads the account you sign in with and its primary calendar only. Shared mailboxes, shared calendars and subscribed calendars are not synced.
