# Connect Gmail and Google Calendar

> Each person connects their own Google account so Spiich can read their calendar and search their mail. Access is read-only: Spiich never sends, drafts or changes anything in either.

## Before you start

- A Google account you can sign in to.
- No Microsoft 365 connection currently active on your Spiich user.

Your CRM is connected once for the whole workspace. Your mailbox and calendar are not: you connect your own, and only you see what it brings in. This is what turns on My Day, meeting briefings, mail search in Chat and follow-up drafts written in your voice.

## Connect Google Workspace

1. **Open Integrations**
   Click **Settings** in the left sidebar, choose **Integrations**, and scroll to the **Email and calendar** section.

2. **Click Connect Google**
   On the Google Workspace card, click **Connect Google**. If the button reads `Unavailable`, Microsoft 365 is connected on your user and you need to disconnect it first.

3. **Approve every permission**
   Sign in to Google and leave every requested permission ticked. Unticking one leaves you partly connected rather than failing outright.

4. **Check the dots**
   You land back on [`Settings > Integrations`](https://app.spiich.ai/settings/integrations) with *Successfully connected to Google*. The card should show a green dot next to **Gmail** and **Calendar**. An amber `Not granted` means that permission was declined; click **Reconnect** and approve it.

There are three shortcuts to the same flow. During onboarding, the **Connect your email & calendar** step offers it. Opening **My Day** with nothing connected offers **Connect Google Workspace** right on the page. And signing in with Google grants the Gmail and Calendar read permissions at the same time as authentication, so a Google sign-up arrives already connected.

## What Google is asked for

The same screen also asks for read access to Meet spaces and to Google Contacts, which is what lets Spiich pick up Google Meet's own conference transcripts as Google produces them and attach them to the matching meeting automatically. Spiich does not turn Meet transcription on itself: recording still has to be started in Google Meet as usual, the same way it always has been. The Google Workspace card shows a status dot for **Gmail**, **Calendar** and **Meet**, and offers **Reconnect** on whichever one is missing.

## What Spiich does with your mail and calendar

- **My Day.** Your calendar becomes a day-by-day list of the meetings you are an attendee of, each with its briefing, attendee list with RSVP status, notes and follow-up draft. See [My Day](/help/meetings/my-day).
- **Meeting briefings.** Spiich prepares a briefing for qualifying external meetings starting within 24 hours: who is coming, their RSVP, the linked CRM records and researched context.
- **Mail and calendar search in Chat.** With **Gmail search** and **Google Calendar** switched on in the Chat Tools menu, you can ask things like what you last discussed with a contact, or which meetings you have with an account next week.
- **Follow-up drafts.** After you write meeting notes and press **Process meeting**, Spiich reads earlier correspondence with the attendees and drafts one follow-up in your voice.

## What Spiich never does

This is the hard promise, and it is enforced by the permissions themselves rather than by policy.

> **Note:** Spiich holds read-only access. It never sends mail from your mailbox. It never saves a draft into your mailbox. It never creates, edits, moves, cancels or RSVPs to a calendar event.

When a draft is ready you press the send button on the card and Spiich opens Gmail, Outlook web or your desktop mail app with the message pre-filled. You review it and press Send there. If the message is too long to hand over in a link, Spiich copies the whole thing to your clipboard instead and tells you to paste it.

The same limit explains a question people ask often: if you tell the assistant to move a meeting, nothing happens on your calendar. Make the change in Google Calendar and Spiich picks it up on the next sync.

## Limits

- One mail and calendar provider per person. Google and Microsoft cannot both be connected on the same Spiich user.
- Only your primary calendar is read. Secondary, shared and subscribed calendars are not synced.
- All-day events are never imported as meetings, and neither are events with one attendee or fewer. Focus blocks, reminders and out-of-office entries fall into those categories.
- Google calendar changes arrive in near real time, usually within about half a minute. On top of that, an hourly pass refreshes the next 24 hours and a nightly pass covers three days back and 30 days forward, which is what clears out deleted events.
- Briefings only run for external meetings with between 2 and 50 attendees, starting within 24 hours. Meetings whose only external attendees use free personal mail domains are skipped, because there is no company domain to research.
- Calendar invitation attachments are excluded from mail search results.

## If something goes wrong

**The card shows `Not granted` next to Gmail or Calendar.** That permission was unticked on Google's consent screen. Click **Reconnect** and approve everything.

**Chat shows *Your Google connection expired*.** The token was revoked or expired, usually after a password change or an admin revoking app access. Click **Reconnect** in the alert.

**My Day says *No meetings today* but your calendar is full.** Check the events have at least one other attendee and a real start and end time. All-day and solo entries are never imported.

**A meeting has no briefing.** The panel says why: internal meeting, solo event, over 50 attendees, external attendees on personal mail domains, or a start time more than 24 hours away. Those are all deliberate. More in [Email and calendar problems](/help/troubleshooting/email-calendar-problems).

## Frequently asked questions

### Can my admin see the mail Spiich reads from my inbox?

No. The Gmail and Calendar connection is personal to you. What it brings in powers your My Day, your briefings and your Chat answers. The separate **CRM Emails** switch controls email that reached Spiich through the CRM, which is a different source.

### Will Spiich ever send an email for me?

Never from your mailbox. It holds read-only Gmail access, so it cannot send or even save a draft there. Every draft opens in your own mail client pre-filled and you press Send. Background agents can email you reports, but those are sent by Spiich and only to people in your workspace.

### Can Spiich book or move meetings for me?

No. Calendar access is read-only, so Spiich cannot create, edit, move, cancel or RSVP to an event. Make the change in Google Calendar and Spiich picks it up on the next sync, usually within about half a minute.

### How do I switch from Google to Microsoft?

Open the three-dot menu on the Google Workspace card in `Settings > Integrations`, choose **Disconnect** and confirm.
