# Skills, the Prompt Library and Quick Actions

If you find yourself typing a variation of the same paragraph every week, save it. Spiich has three places to put it, and the difference between them is what happens when you use it.

## Which one do you want

A Skill shapes *how* Spiich works. A saved prompt gives you *what to say*. A Quick Action removes the click entirely. Typing `/` in the composer lists your saved prompts and your Skills together, up to 15 entries, at most 10 of each.

## Create a Skill

1. **Open Skills**
   Go to [`Settings > Skills`](https://app.spiich.ai/settings/skills). Starter Skills are offered here: MEDDIC qualification, Discovery call prep, Post-meeting follow-up, Mutual action plan, Stakeholder map, Pipeline health review, and an Email writing style Skill that Spiich can fill in from your sent mail. Click `Use this` on any of them to open the editor prefilled, or click `New skill` to start blank.

2. **Name it**
   Enter a name, for example `Research an account`. Up to 200 characters.

3. **Say when it applies**
   Fill in `When should this skill be used?` with one line describing the situation. Up to 500 characters. Spiich uses this to know when the Skill is relevant.

4. **Write the instructions**
   Put the steps, rules, examples and the output you expect in `Instructions`. Up to 50,000 characters, so there is room for a real playbook.

5. **Choose who can use it**
   Under `Available to`, pick `Only me`, `A team` or `Whole company`.

6. **Save and try it**
   Click `Create skill` (or press `Cmd+Enter`). Go to Chat, type `/`, pick the Skill so it attaches as a chip, then type your request.

> **Tip:** You do not have to use the form. Tell Spiich in chat to save the way you just did something as a Skill and it will create or update one, asking only for details it genuinely needs. Skills created this way default to personal scope unless you ask for team or company.

## Create a saved prompt

Go to [`Settings > Prompt Library`](https://app.spiich.ai/settings/prompt-library) and click `Add Prompt`. Give it a name (up to 200 characters), write the `Prompt Content`, and use `Insert variable` to add `{{placeholders}}` you fill in each time. Set an optional category, tick `Share with team` to make it available to everyone in the workspace, and click `Create Prompt`.

In chat, type `/` plus part of the name. The text drops in with every variable highlighted and `Tab` jumps between them. Prompts a colleague shared are marked `Shared`.

Already written the perfect message in a chat? Hover your own message, click the bookmark icon (`Save as prompt`), name it, and it lands in the library without retyping.

## Create a Quick Action

Go to [`Settings > Quick Actions`](https://app.spiich.ai/settings/quick-actions) and click `Add Action`, or pick a starter such as `Draft follow-up`, `Research company`, `Deal status`, `Spot risks` or `Objection help` and click `Use this`.

Name it, pick an icon, and write the prompt content. Use the variable menu to insert a `Text`, `Dropdown` or `Date` input wherever you want to supply something at run time. Tick the share option to offer it to the team, and the pin option to put it on your new-chat home screen.

Actions with no variables run on the first click. Actions with variables open a small dialog that collects each input first. Quick Actions also appear as pills on a record page, so you can fire one against the deal you are looking at. See [Record pages](/help/your-data/record-pages).

## Sharing scopes

Skills have three audiences, and two of them are restricted.

| `Only me` | Just you | Anyone |
| `A team` | Everyone in the chosen team | Workspace admins, and only once at least one team exists |
| `Whole company` | Everyone in the workspace | Workspace admins |

> **Admin only:** Non-admins only ever see `Only me` in the `Available to` selector. `A team` also needs at least one team to exist in Team Management before it appears. See [Teams](/help/workspace/teams).

Saved prompts use a simpler model: `Share with team` makes a prompt available to everyone in the workspace. Quick Actions can be shared the same way, but pinning a shared action onto everyone's home screen is admin only. You can always pin your own private action for yourself.

## Limits

- The `/` menu shows at most 15 entries: up to 10 saved prompts and up to 10 Skills, interleaved.
- Skill fields are capped at 200 characters for the name, 500 for the description and 50,000 for the instructions.
- Prompt names are capped at 200 characters and categories at 100.
- Deleting a shared Skill removes it for everyone who had access, and that cannot be undone.

## If something goes wrong

- **A Skill you expect is missing from the `/` menu.** It is scoped to a team you are not in, or to someone else. Check `Settings > Skills`. Only Skills you are allowed to run are listed.
- **`Whole company` or `A team` is missing when you create a Skill.** You are not a workspace admin, or no team exists yet. Save it as `Only me` and ask an admin for the shared version.
- **The home-screen pin checkbox on a Quick Action is locked.** The action is shared with the team, and pinning a shared action for everyone is admin only. Keep it private and pin it for yourself, or ask an admin.
- **Spiich ignored the Skill you picked.** The chip was cleared from the composer, or you are no longer allowed to run that Skill. Re-select it from the `/` menu just before you send and check the chip is visible.

## Frequently asked questions

### Can I use a Skill and a saved prompt in the same message?

Yes. Pick the saved prompt first so its text lands in the composer, then type `/` again and pick the Skill so it attaches as a chip. Spiich follows the Skill instructions while answering the prompt.

### What is the difference between a Skill and the memory preferences?

Memory is always on and applies to every conversation: your tone, your role, your standing rules. A Skill is invoked deliberately for one request. Put "always write in British English" in memory; put "how we qualify an enterprise deal" in a Skill. See [Teach Spiich how you work](/help/chat-and-voice/teach-spiich-how-you-work).

### If I edit a shared Skill, does it change for everyone immediately?

Yes. A team or company Skill has one definition, so an edit applies the next time anyone runs it. If you want to experiment, duplicate the instructions into a personal `Only me` Skill first and promote it once you are happy.

### Can a starter Skill be edited after I use it?

Yes. Clicking `Use this` on a starter opens the normal editor prefilled, and what you save is your own Skill. Change the name, the description and every line of the instructions as much as you like.
